MUSEUM OFFICE MANAGER
Job Summary:
This Full-time position oversees the day-to-day operations of the museum’s office and staff, and volunteers and provides proactive, administrative support to the Museum Board of Directors, Executive Director/Curator, sub-committees and other personnel in accordance with established visions of this organization. Day-to-Day operations include a variety of clerical and reception duties, financial tracking, records management, collection management, coordinating calendars and organizing meetings and events.
Accountability:
This position reports to the Museum Executive Director/Curator.
Responsibilities:
- Maintain efficiency within the office by establishing the best practises, standards, and procedures for the Boundary Museum Society.
- Creation and Maintenance of an Office Manual.
- Train and successfully onboard new hires, summer youth workers and volunteers.
- Organize board and other meetings and public events.
- Participate in community events on behalf of the museum.
- Proactively identify sponsorship and outreach opportunities and coordinate resources to participate.
- Assist with collection management.
- Respond to phone and email inquiries regarding the museum and the facilities.
- Prepare presentations for the board using Power Point.
- Prepare Board meeting agendas, packages and take minutes.
- Coordinate and manage bookings of the Museum/Fructova Heritage site and Flour Mill.
- Perform financial tasks, such as invoicing, deposits, tracking accounts receivable and payable working with the BMA’s book keeper, and works with the Treasurer to create the budget and tracks it.
- Balance and maintain Petty Cash.
- Oversee the maintenance of the office and equipment and replenishment of office supplies.
- Perform record management duties such as setting up and maintaining filing systems, both manually and electronically as related to the museum’s operations, bylaws, etc.
- Coordinate cultural events and group tour bookings.
- Manage memberships.
- Update the website and social media.
- Create and distribute the monthly newsletter.
- Comply with and uphold communicable disease/public health order protocols.
- Perform other related duties as assigned.
Training and Experience:
- Medium to High level of proficiency in Microsoft Office suite (including Word, Excel, PowerPoint and SharePoint).
- Experience using WordPress and MailChimp and database software.
- Experience with office management, budgeting, accounts payable/receivable and payroll, and scheduling.
- Experience with event planning.
- Experience with managing staff.
- Strategic planning and business development skills.
Education and Qualifications:
A university, college degree or certificate in administration, business, or accounting and three years of recent experience is preferred; however, Grade 12 and three years of recent, related experience or equivalent combination of education, training and experience will be considered.
Skills and Abilities:
- Ability to establish and maintain good working relationships with various community and cultural organizations.
- Proficient in Microsoft Office Suite (including PowerPoint and Sharepoint) and a variety of other software applications.
- Ability to provide a high level of pleasant customer-service to diverse clients.
- Ability to navigate troublesome situations.
- Ability to communicate effectively both verbal and in writing.
